Remote/Off-Campus Appointments

What to expect:

After a student has requested an appointment via Qualtrics, an Outlook calendar invite will be sent to both the instructor and student. The description of this invitation will house the zoom link to be used for proctoring on test day. 

Once an instructor has received the Outlook Calendar invite they should review the date, time, and length of the appointment. If these parameters are correct, they should accept the invitation, via email, without sending a written response.

If these parameters are incorrect, they should decline the invitation, via email, and send a written response detailing what parameters need to be changed in order for the invitation to be accepted.

Please note, accepting a calendar invite does not signify that you will attend the appointment, only that you have approved the student's appointment and its parameters.

Once the testing center has received the email that the instructor has accepted the Outlook Calendar invite, they will receive via email a link to the form needed to submit the exam and any pertinent instructions.

Instructors are required to submit the exam and supplemental information at least 48 hours in advance of a student's exam appointment.

If applicable, the completed exam will be returned to the instructor via email. 

Exams proctored under theses conditions will provide test security in the following manner: 

  • Virtual room scans will be completed

  • Duke ID checks will be required 

  • Proctor to student ratio of no more than 1 to 8
  •  1:1 view of the student and the student's computer screen will remain visible at at all times.
  • 1 to 2 (or more) : A view of the students and the student's computer will be checked periodically during a test administration.
  • An irregularity report will be provided to instructors should any irregularities occur (e.g. another person enters the testing space or the student is heard speaking with someone off-camera)   
  • Testing sessions will be recorded in case review is necessary

 

For Students Who Need Readers and Scribes  

Using screen sharing on Zoom, proctors will dictate the exam word-for-word over computer audio to students requiring a human reader. Using the screen share and control functions proctors can click answers on behalf of students and, in other cases, scribe student answers using Microsoft Word and directly send the file to the faculty member. 

 

In-Person/On-Campus Appointments

What to expect:

The Testing Center uses a system called Accommodate to manage appointments, access student accommodations, and receive exams from instructors. All students and instructors have access to Accommodate. 

After a student has requested an appointment via Accommodate, an instructor receives an automated email prompting them to review the appointment request. Instructors must approve or decline the appointment request based on the correctness of the appointment parameters. 

After the instructor has approved the appointment request, the Testing Center will send a confirmation email to the student. 

Instructors are required to upload the exam and supplemental information to Accommodate at least 48 hours in advance of a student's exam appointment.

The completed exam will be returned to the instructor by the method indicated when uploading the exam.
